Column functionality

To use the HTML Active report column functionality:

1. At any column heading, click the down arrow icon to open the HTML Active column feature menu.

   

2. Click the menu option for the feature you want to use:
   • Sort Ascending

     Sorts the column in ascending order.

   • Sort Descending

     Sorts the column in descending order.

   • Filter

     Opens a sub-menu allowing you to filter the report based on values in the column.

     

     These options allow you to select criteria, specify operators, and add conditions to build your filter.

     For example, if your report includes a Merchant Number and a Department Name column, and you want to filter the report to list only the results for a specific merchant number and department:

     1. At the Merchant Number column heading, click the down arrow icon to open the HTML Active column feature menu.
     2. From the Filter sub-menu, click Equals to open the Filter Selection box.

        

     3. At the Merchant Number criterion box, click the down arrow icon to open the Merchant Number box.

        

     4. Click the merchant number you want to report on, and then click the x icon to close the box.
     5. If required, click the Operator button to display Operator: AND, and then click Add Condition to open the criterion selection menu.

        

     6. Click Department Name to close the selection menu and refresh the Filter Selection box to include the Department Name criteria line.
     7. At the Department Name criterion box, click the down arrow icon to open open the criterion selection menu, and then select the department name you want to report on.

        

     8. Click Filter to apply the filter to your report and list only those rows to which your filter applies.

        -or-

        Click Highlight just to highlight the rows to which your filter applies.

        Tip: To minimize the Filter Selection box, click the minus icon to replace it with the Filter Selection icon , which you can click to re-open the box.

   • Calculate

     Opens a sub-menu allowing you to perform calculations based on the values in the column.

     

     The calculations available are:

     • Sum: Calculates the total sum of the values in the column and lists it at the top of the column.
     • Avg: Calculates the average of the values in the column and lists it at the top of the column.
     • Min: Lists the minimum column value at the top of the column.
     • Max: Lists the maximum column value at the top of the column.
     • Count: Lists the count of column values at the top of the column.
     • Distinct: Lists the number of distinct column values at the top of the column. A distinct value is one that is unique or is the first occurrence of a duplicate value.
     • % of Total: Refreshes the report page to include an adjacent % of Total column indicating what percentage of the original column's total sum amount each column amount represents.

     For example, if your report includes a Gross Sales column, and you want to calculate the total sum of the gross sale amounts listed, and indicate what percentage of the total sum each gross sales amount represents:

     1. At the Gross Sales column heading, click the down arrow icon to open the HTML Active column feature menu.
     2. From the Calculate sub-menu, click Sum.

        The report page refreshes to include the Total Sum at the top of the Gross Sales column.

        

     3. At the Gross Sales column heading, click the down arrow icon to open the HTML Active column feature menu again.
     4. From the Calculate sub-menu, click % of Total.

        The report page refreshes to include an adjacent % of Total column indicating what percentage of the total sum amount each gross sales amount represents.

        

     5. To remove the calculations from the Gross Sales column, or all calculations from the report:
        1. At the Gross Sales column heading, click the down arrow icon to open the HTML Active column feature menu.
        2. From the Calculate sub-menu, click Clear to remove all calculations from the column, or click Clear All to remove all calculations from the report.
   • Chart

     Opens a sub-menu allowing you to create a chart based on the data listed in your report.

     

     Note: The Scatter option is only available if the column you first select (that is, whose data you will use as the Y axis) lists numeric data.

     To create a chart based on the data listed in your report:

     1. At the heading of the column whose data you want to use as the Y axis for your chart, click the down arrow icon to open the HTML Active column feature menu.
     2. From the Chart sub-menu, highlight the option for the type of chart you want (Pie, Line, Bar, or Scatter), and then from the Group By (X) pop-up menu, click the column name whose data you want to use as the X axis for your chart.

        

        A box opens displaying your chart. Here is an example of a pie chart:

        

        You can click the icons in the chart toolbar to perform various functions.

        The chart toolbar, located as in the image below, enables you to perform various functions.

        

        The toolbar provides these icons:

        (data menu)

        Opens a menu providing these options:

        • New: Click this to create a new instance of your chart that you can edit while leaving the original untouched.
        • Group By (X): Select this to open a sub-menu where you can select other data groupings to add to your X axis or remove them.

          

        • Add (Y): Select this to open a sub-menu where you can select other data groupings to add to your Y axis or remove them.

          

        • Top: Select this to open a sub-menu where you can click an option to display just the top 3, 5, or 10 records in the chart, or clear a previous top selection.

          

        • Restore Original: Click this to restore the original chart, removing any edits you made.

        Bar

        Click this to render the chart as a bar chart.

        

        Pie

        Click this to render the chart as a pie chart.

        

        Line

        Click this to render the chart as a line chart.

        

        Scatter

        Click this to render the chart as a scatter chart.

        

        Rollup

        Click this to render the chart as rollup information.

        

        Original Chart

        Click this to restore the original chart, removing any edits you made.

        (lock)

        Click this to set the current chart as the original chart, which you can then return to later after making edits by clicking the Original Chart icon .

        (recalculate Y axis)

        Opens a menu allowing you to select one of these options to refresh the chart with a recalculated Y axis:

        • Sum: Refreshes the chart to display the Y axis as sum values (this is the default).
        • Avg: Refreshes the chart to display the Y axis as average values.
        • Min: Refreshes the chart to display the Y axis as minimum values.
        • Max: Refreshes the chart to display the Y axis as maximum values.
        • Count: Refreshes the chart to display the Y axis as count values.
        • Distinct: Refreshes the chart to display the Y axis as distinct values. A distinct value is one that is unique or is the first occurrence of a duplicate value.
   • Visualize

     This option is available for columns containing numeric data values. It adds a graphic representation of each value in the column.

     

   • Hide Column

     Hides the column.

     To redisplay a hidden column, use the Show Columns sub-menu.

   • Show Columns

     Opens a sub-menu allowing you to redisplay any hidden columns.

     To redisplay a hidden column, at any column heading, click the down arrow icon to open the HTML Active column feature menu, and then from the Show Columns sub-menu, click the hidden column name, or click Show All to redisplay all hidden columns.

     

   • Freeze Column

     Freezes the report columns in the window from the left of the report to this column, and provides a scrollable section within the window for the remaining columns to the right of this column.

     

     To unfreeze the column, use the Unfreeze All menu option.

   • Unfreeze All

     Removes any Freeze Column functionality applied to a column.

   • Show Records

     Opens a sub-menu where you can click an option to specify the number of records listed per page, or click Default to list the default 50 records per page (which you can then page through), or click Show All to list all the records on one page (which you can then scroll vertically through if necessary).

     

   • Comments

     Opens a sub-menu allowing you to click an option to specify how values with comments are displayed in the report:

     • Expand: Expands any values in the report that have comments applied to them to display those comments.

       

     • Hide Indicator: Hides the indicators that show which values have comments applied.

       

     Tip: You can add a comment to a value in a row by clicking it to open the HTML Active row feature menu and then using the Comments option.

     Opens the Add Comment box allowing you to add a comment about the value you clicked.

     To add a comment to a value in the report:

     1. Click on a value in a row to open the HTML Active row feature menu, and then click Comments to open the Add Comment box.

        

     2. In the Enter Comment box, enter your comment, and then click the Add Comment button.

        The Add Comment box closes and the value you added the comment to is identified with an asterisk (*) in the report display.

        

     3. To remove a comment from a value, click the value in the report display to open the HTML Active row feature menu, and then click Comments to open the Add Comment box.

        

        Click the x icon for the existing comment, and then click the Add Comment button.

   • Export

     Opens a sub-menu allowing you to export all the report records or just the filtered ones in HTML, Comma Separated Value (CSV), or Excel (XML) format.

     

   • Print

     Opens a sub-menu allowing you to print all the report records or just the filtered ones.

     

   • Restore Original

     Restores the report display to its original state, removing any sort, filter, hidden column, freeze column, and comment functionality applied.
